1. DATA CONTROLLER
The organisers of the Ultra Trail Vipava Valley I Feel Slovenia event are:
- Alpe Adria Adventurers d.o.o.
- Sports Association Ultra Trail Slovenia (hereinafter jointly referred to as the Organiser).
2. Purpose and Legal Basis for Data Processing
We collect and process personal data for the following purposes:
- execution and organisation of the event, including registration, communication, and processing of results,
- compliance with contractual and legal obligations (e.g. accounting, safety, medical assistance),
- communication with participants, partners, and sponsors,
- promotional purposes, where explicit consent has been given (e.g. publication of photos, newsletters),
- statistical analysis and improvement of the event, using anonymised data.
The legal bases for processing personal data are:
- performance of a contract (participation in the event),
- legitimate interest of the Organiser,
- explicit consent of the individual (for voluntary additional processing, such as receiving newsletters).
3. Types of Personal Data Processed
The following personal data may be processed:
- basic data (name, surname, gender, date of birth),
- contact details (email, phone number, address),
- registration and event results data,
- payment data,
- health-related information when necessary for participant safety,
- photos and video recordings of the event.
4. Data Retention
Personal data are stored only for as long as necessary for the purposes for which they were collected:
- registration data: up to 3 years after the event,
- accounting data: 10 years (as required by law),
- photos and promotional materials: until consent is withdrawn.
After these retention periods, the data are deleted or anonymised.
5. Data Sharing
Access to personal data is limited to authorised persons of the Organiser and contractual data processors (e.g. online registration providers, payment service providers, safety and medical services).
Personal data are not transferred to third countries or international organisations without appropriate safeguards.

- traffic analysis and web analytics (e.g. Google Analytics),

By registering for the event, runners agree to the use of photo and video materials taken during the race for promotional purposes of the Organiser, partners, and event sponsors (including publication on websites, social media, printed materials, and other promotional media).
10. Changes to the Privacy Policy
The Organiser reserves the right to modify this Privacy Policy in accordance with legal requirements or organisational changes related to the event.
