Registration can be completed online at www.ultratrail.si. All registrations and management of entrants’ data are handled by our registration platform system, AvaiBookSports. By registering with UTVV Slovenia, competitors automatically accept the competition regulations. Registration is considered final once completed. NON-PARTICIPATION AND REFUND
If a registered participant chooses not to participate in the race for any reason other than a medically documented issue, they are not eligible for a refund.
If a registered participant cancels the participation, they have three options available until April 15, 2025:
a) They can transfer their registration to another participant.
BIB NUMBER TRANSFERS BETWEEN PARTICIPANTS
- The transfer of BIB numbers between participants is possible until April 15, 2025, through the Registration transfer link
- After April 15, 2025, no changes can be made.
- It is also possible to transfer the BIB number on the day of the event, based on the written permission of the BIB owner. The transfer will be charged with an additional fee of 20 EUR.
b) They can transfer their registration to the next year. In that case, they will have to pay an additional fee of 25% of the next year’s registration price and they will also be asked to provide a medical certificate as proof of their medical issues.
c) They can request a refund by contacting us at info@ultratrail.si. The participant will be asked to provide a medical certificate as proof of their medical issues.
After April 15, 2025, no refunds will be possible*.
REFUND POLICY
From the moment the registration fee is paid, the Organization agrees to refund a percentage of the amount paid by the participant** if the participant requests a non-participation refund due to a medically documented issue:
- before December 1, 2024 – 90%
- December 1, 2024 – February 28, 2025 – 70%
- March 1, 2025 – April 15, 2025 – 50%
- after April 15, 2025 – 0%*
* no matter the reason for the non-participation
** except bank fees
If the participant does not provide medical certification to prove their medical issues, they will not be eligible for a refund.
SOUVENIRS POLICY
If the participant does not take part in the race between April 25 – April 27, 2025, for any reason, the Organization is not obligated to provide them with any race souvenirs, such as a goodie bag or a race T-shirt.
However, they have the option to collect these items in person during the UTVV 2025 BIB pick-up open hours. They may also designate a friend to collect them on their behalf.
After the event, the Organization will not be responsible for shipping any remaining goodie bags, race T-shirts, or other souvenirs that were not collected during the event.
CANCELLATION OF RACE IN AN EMERGENCY
If the race is cancelled due to force majeure or emergency, the Organizer will provide refunds for the entry fee according to the following conditions:
- Cancellation up to 4 months before the event date: 90% refund
- Cancellation up to 2 months before the event date: 70% refund and 20% discount for the next year’s event
- Cancellation up to 14 days before the event date: 60% refund and 20% discount for the next year’s event
- Cancellation less than 14 days before the event date: 60% refund or transfer of the entry fee to the next year’s event
GENERAL RULES
GENERAL TERMS AND CONDITIONS
1. Each runner competes at their responsibility.
2. Runners must have prior experience in trail and ultra-trail running, should not experience dizziness, and need to be physically well-prepared.
3. Runners under 18 years old cannot compete at UTVV160/110/60 due to extreme difficulty.
3.1 Runners between 14 and 17 years old can compete at UTVV30 with written permission from their parents or caretakers.
3.2 Runners under 14 years old are not allowed at UTVV30.
3.3 Runners between 12 and 17 years old can compete at UTVV15 and UTVV10 with written permission from their parents or caretakers.
4. The race will be held in all weather conditions unless the safety of the runners is at risk (e.g. extreme storms). In such cases, the Organizing Committee will decide on alternate trails and sections, or cancel the race.
5. The trail will be marked with flags, strips and signs to ensure runners do not need to navigate. Race staff and volunteers will be present at key points to assist and guide the runners.
6. All runners must follow the marked path. Any shortcuts or deviating from the trail will result in penalties or disqualification.
7. If a runner cannot see any markings for more than 200 m, they must return to the last marking and reconsider their path.
8. If the markings are inadequate or missing, runners must report this at the nearest checkpoint.
9. All runners must have the mandatory equipment.
10. Runners using walking poles at the start of the race must carry them throughout and cannot add or discard them during the race.
11. No outside support is allowed between aid stations along the trails.
12. We recommend runners use a GPX track on their watch.
13. A runner may choose to withdraw from the race at checkpoints or refreshment stations. Immediate communication with the Organizer (contact details on the BIB number) is required.
REGULATION OF UTVV SLOVENIA
ORGANIZATION
UTVV Slovenia is organized by the Alpe Adria Adventurers d.o.o. company and the Sports Club Ultra Trail Slovenia. UTVV Slovenia is supported by the public institutions Slovenian Tourist Board, the Institute for Tourism in Nova Gorica and Vipava Valley, Tourist Board Miren Kras, and the municipalities of Ajdovščina, Vipava, Nova Gorica, Miren-Kostanjevica, and Gorizia.
General information about the races
UTVV Slovenia event consists of 7 single-stage races that take place in the open area of Vipava Valley, Slovenia, as well as a non-competitive hike and wine tour. The races occur outdoors on hiking paths, gravel, and tarmac roads across Vipava Valley, creating a circle around the Valley. The event draws on a strong historical background from the Roman era, naming races after Roman generals, soldiers’ ranks, and other figures from ancient times. The event organizers believe that (ultra)trail runners are similar to warriors of the mind. They think this not because of an affinity for the military or war, but due to the mental “battles” that runners face as they work towards self-improvement and personal growth.
- Emperor, 160 km long, vertical meters – 6.400, starts from Ajdovščina, semi-autonomy, 46 hrs max, max 200 runners
- Centurion, 110 km long, vertical meters – 4.500, starts from Ajdovščina, semi-autonomy, 30 hrs max., max 400 runners
- Gladiator, 60 km long, vertical meters – 2.400, starts from Ajdovščina, semi-autonomy, 16 hrs max, max 500 runners
- Legionar, 30 km long, vertical meters – 1.600, starts from Ajdovščina, semi-autonomy, no time limits, max 800 runners
- Asterix, 15 km long, vertical meters – 250, starts from Ajdovščina, semi-autonomy, no time limits, max 400 runners
- Castra City Run, 10 km long, vertical meter – 150, start from Ajdovščina, semi-autonomy, no time limits, max 300 runners
- Obelix Hike&Wine, 11 km long, vertical meters – 100, starts from Ajdovščina, max 100 hikers – non-competitive
RUNNER’S COMMITMENT
To participate in the UTVV Slovenia events, particularly the Emperor – 160 km and Centurion – 110 km races, the following is essential:
1. Be fully aware of the event’s length and specifics and be thoroughly prepared for it.
2. Have prior experience and personal autonomy in mountainous terrain, including the ability to manage problems that may arise, such as:
– handling challenging weather conditions at high altitudes (night, dark, wind, cold, fog, rain, or snow) without external assistance;
– managing physical or mental issues due to fatigue, digestive problems, muscle or joint pains, and minor injuries even when isolated.
3. Understand that the race organizers will not provide individual assistance in managing these issues.
4. Acknowledge that in mountain activities, your safety depends on your ability to adapt to encountered or anticipated problems.
5. Inform and educate members of your support team to respect nature, people, and race regulations.
6. Keep up with newsletters providing event information sent before the event.
SEMI-AUTONOMY REQUIREMENTS
The UTVV Slovenia races follow the principle of individual competition in semi-autonomous conditions. The race takes place in a single stage, at an unspecified pace, within specified time limits for each race. Semi-autonomy means being able to be self-sufficient between two refreshment points, including managing food, clothing, and security, to adapt to any encountered or anticipated problems such as bad weather, physical or mental issues, or injury.
Remember these important rules:
1. Every runner must carry all mandatory equipment throughout the race, as outlined in the EQUIPMENT section. Race officials may inspect the contents of your pack at any time. It’s essential to comply with these checks in good faith, as failure to do so could result in exclusion from the race or penalties.
2. The refreshment points are there to supply drinks and food for on-site consumption. The organizers will provide still water, energizing drinks, and soft drinks for refilling water bottles or hydration packs. As you leave the aid station, ensure you have enough nourishment to last until the next one.
3. Personal assistance is permitted only at aid stations, in the designated area for this purpose. It is strictly forbidden to receive assistance from professionals, medics, or paramedics. The rest of the refreshment area is reserved exclusively for the runners.
4. Do not accompany or be accompanied by anyone not registered for the race along any part of the race route, except in the specific tolerance zones near the refreshment points.
REFRESHMENT & CHECKPOINTS
The trail is equipped with several refreshment stations and checkpoints. At the refreshment stations, runners can refuel with drinks and food, and fill their bottles with liquid to sustain their run. Waste should be disposed of only at the checkpoints and refreshment stations.
MEDICAL TREATMENT
On the trail, there will always be a medical team present along with emergency vehicles and multiple Mountain Rescue teams.
The MRS team will also have the authority to stop the race in case of a dangerous situation, such as bad weather, and all runners must obey their instructions.
When the medical staff determines that a runner is unable to continue the race, they can stop the competitor and assist. If there are any violations, the competitor may be disqualified.
PHOTO DOCUMENTATION
The runners consent to the use of photo and video material captured during the race for promotional purposes by the organizer.
LIABILITY
Runners acknowledge that participation in the race is at their own risk. The organizer does not assume responsibility for any injuries or equipment damage. By joining the race, runners must agree to comply with all rules and accept the associated consequences.
COMPLAINTS
All complaints must be submitted in writing within 30 minutes after the runner arrives at the finish line, accompanied by a 50 EUR deposit. The Organizing Committee jury will review the appeal and respond. The decision will be made as quickly as possible and will be final, with no further possibility of appeal.
Any complaints about irregularities on the trail must be submitted in writing and accompanied by supporting documentation, such as photo evidence or statements from at least three witnesses.
The Organizing Committee jury is composed of:
– Race director
– Technical director
– Head of the checkpoint or refreshment stations (depending on an individual complaint)
– Other persons considered to be competent in a particular dispute or complaint (appointed by the leader of the competition)
FINAL MANUAL VERSION
The manual (Race Guide) will be published on the website 14 days before the race, and technical guidance will be provided before each start.
DOPING
The use of performance-enhancing substances (doping) is prohibited. The organization will provide necessary means and resources for any required testing.
PENALTIES AND PROHIBITIONS
1. Each runner must be recorded at all checkpoints. Any runner who fails to follow the marked trail or uses shortcuts will face penalties of up to 2 hours for missing checkpoints.
2. All runners must possess and be ready to show the mandatory equipment at any time. Incomplete mandatory equipment will result in a penalty of 0.5 hours for every missing part, and failure to show the equipment will lead to disqualification.
3. Disposal of trash on or near the trail will lead to immediate disqualification.
4. Taking shortcuts, deviating from the marked path, or approaching a CP or an aid station in the wrong direction will result in a minimum one-hour penalty for each irregularity.
5. The use of any form of transport during the race will result in immediate and permanent disqualification.
6. Failure to assist another competitor in trouble will result in disqualification.
7. Any insults or threats directed at the Organizer or a volunteer will result in immediate disqualification.
8. Continuing the race after the time limit has been reached will result in disqualification.
9. Using support between official aid stations will result in a 1-hour penalty.
10. Disqualification or penalties can be enforced immediately or upon detection of the irregularity.

The mandatory equipment check may take place at the start or at any time along the trail. If the mandatory equipment is incomplete or a competitor does not show it, a penalty will be imposed. For every missing part of the mandatory equipment, one hour will be added to the competitor’s time. Competitors have the option to wear the equipment or have it stowed in a backpack.
In the event of a bad weather forecast, the Organizer has the right to require additional mandatory equipment for the safety of the runners. This decision will be made no later than one day before the event.
